Activating and Using the “Request Files” Feature on SharePoint Online
Hello friends, today I will show you how to activate and use a feature that you can activate on SharePoint Online and will make your work easier, especially in file management.
Let’s start with how to activate the feature of requesting files from anyone you want in any document library. For this, the first step is to go to the admin panel and activate our settings.
We go to the admin address by typing your own domain address in the “xxx” section at https://xxx-admin.sharepoint.com.
We go to the sharing page by clicking on the “Sharing” menu option under the “Policies” main menu on the left menu.
In the settings section under the “Extermal sharing” heading at the top of this page, we move the settings in the section that says both “SharePoint” and “OneDrive” to the top, that is, to the “Anyone” setting.
“Choose the permission that’s selected by default for sharing links.” located right at the bottom of the page. Under the title, we select the selection as “Edit”, and in the “These links can give these permissions:” section just below, we select the “Folders” option as “View, edit, and upload” as in the screenshot. If you want, you can of course define a validity period for these links.
After saving our settings in this way, we will now need to activate this feature for SharePoint. To enable activation, we need to use the following powershell script.
Connect-SPOService -Url https://xxx-admin.sharepoint.com
Get-SPOTenant | Select CoreRequestFilesLinkEnabled
Set-SPOTenant -CoreRequestFilesLinkEnabled $True
You need to complete the activation process by typing your site address in the “xxx” part of the above powershell script.
As you can see, the feature was not active and we activated it. After this process, if you right-click on a file in any document library on your sharepoint sites, you will see this feature available.
As you can see above, our feature has been activated. Now let’s see how this process is done. We start our process by clicking on this option.
A small popup will open and we will first be asked to enter a description of this file request. After writing our description here, we proceed by clicking the “Next” button.
On the next screen, you will see a screen like the one above. Here, you can either copy the link created specifically for this request and send it yourself, or you can send a request e-mail to the users by typing their e-mail addresses in the section below.
If you open the link you copied, a screen like above will appear and you need to upload files with the “Select files” button.
If you make a request via e-mail address, a popup screen will appear informing you that the request has been submitted and that you will be notified when the installation is completed.
When you send a request by typing your e-mail address, an e-mail will be sent as above. Here, when you click on the “Upload Files” button, it will direct you to the relevant address.
If we proceed by selecting the file on the page opened in the link, a screen will appear showing the selected files as above. Here you can select more files by clicking “+ Add more files” or cancel the selected files by clicking the cross sign to the right of the selected files. You can see the total number of files and size information at the bottom right.
Right below, we ask the person performing the transaction to enter the name and surname information, and after completing these, we can upload it with the “Upload” button.
When the installation starts, the installation percentage will appear on the screen and when it is completed, a completed message will appear as above. If you want to continue uploading, you can return to the upload screen by pressing the “Upload more” button.
After the installation is completed, the person making the request is sent an email informing them that an installation has been made as above.
If you enter the folder we requested, you can see that the uploaded files are uploaded as “Guest Contributor”, with the name and surname first, then the file name.
As you can see, in this way, you can request files from anyone you want and have these files transferred to your portal, without having to give access or authorization to anyone in your sharepoint address.
