Sharing Documents with Others by Preventing Downloads on SharePoint Online

Hello friends, today I will talk about a very nice feature for document libraries on Sharepoint Online and how to use this feature.

As you know, especially after cloud systems entered our lives, the online part of Sharepoint provides convenience both in terms of simplifying our processes and optimizing our work.

You can use this feature if you want to make sure that these documents are not downloaded when sharing documents to both internal and external parties through your document library on Sharepoint online.

I will talk about all the details on how to use this feature on both the classic authorization screen and the modern screen.

First, let’s look at the part on the classic authorization screen. We go to the advanced permission setting screen of the file or folder whose authority we want to share.

If the authority is not broken here, we break the authority and say “Grant Permissions”.

In the popup that opens, click on the “SHOW OPTIONS” section at the bottom of the “Invite people” option and expand the screen to see the options.

We select the “Restricted View” option from the dropdown options under the “Select a permission level” heading, one of the extra features on this screen. After choosing to whom it will be shared, we can share authority with the “Share” button.

If you want to go through the “Get a link” option, we need to generate a link by selecting the “Restricted link — Only specific people can open this link” option.

In the modern interface section, we select the file or folder we want to share and click on the three dots “…”. Here, we select “Share” at the top of the popup options and click on it.

There are two different settings sections on the popup screen that opens. If we are going to share the file with the “Send” button, you need to click on the dropdown pencil icon next to the part where the name information is written at the top. If you want to share it as a link with the “Copy link” option, you need to click on the settings icon next to the button.

When you scroll through the first options, we need to select “Can’t download” at the bottom of the options.

If you are going to share it as a link, we create our link by selecting the last option “Can’t download” in the dropdown section under the “More settings” heading at the bottom, after selecting the sharing option on the newly opened popup screen.

As you can see, you can share your files in a way that prevents them from downloading them by using different methods.
